RECORDS AND INFORMATION MANAGEMENT CONSULTING SERVICES

The InfoPros primary service is a strategic consulting practice dedicated to providing advisory services related to records management and the broader spectrum that encompasses information governance and privacy. The InfoPros offers the following strategic records management services to organizations large and small:


  • Review and recommendations for records and information (RIM) management policy design and development to achieve ultimate compliance tailored to each individual Municipality;


  • Development of Privacy and Access to Information policies and programs;


  • Development and implementation File Plan and Retention Schedule for the ultimate disposition of records to ensure fully defensible records management programs;


  • Definition of Enterprise Taxonomies (metadata) framework for the classification and organization of records and information;


  • Records management training based on ARMA’s Generally Accepted Recordkeeping Principles (GARP) and AIIM best practices;


  • Legislative research and validation, and specifically tailored rules and regulations for all jurisdictions in North America according to organization size and scope;


  • Enterprise document records management technology procurement development, proposal evaluation and vendor selection;


  • Information architecture design and development with a specific focus on the user experience (UX) to successfully align user goals and business goals with the usability of the solution;


  • Develop content migration strategies to support the classification and migration of records from legacy applications to Electronic Document and Records Management (EDRM) Solutions;

TOMRMS COMPLIANCE SERVICES

In 1990, the InfoPros in conjunction with the Association of Municipal Managers, Clerks & Treasurers of Ontario (AMCTO), was instrumental in the development of The Ontario Municipal Records Management System (TOMRMS) and the Boards of Education Records Management System (BOERMS). Today, the InfoPros actively maintains TOMRMS and we offer ongoing Compliance Services to Ontario Municipalities related to the maintenance of TOMRMS on a yearly basis, across the Municipal enterprise.


As a service-line, the InfoPros Compliance Services are provided to more than half of the Municipalities in Ontario (>200). The InfoPros Compliance Services was created in response to an overwhelming need: hundreds of Municipalities that found themselves repeatedly exposed to litigation risks brought on by yearly changes to Records Management compliance rules, regulations and legislation. Through the InfoPros Compliance Services, we help Municipal organizations follow legally acceptable practices for compliance in response to moving targets that change both annually and on a rolling year-over-year basis. The InfoPros Compliance Service includes a comprehensive review and audit of all applicable legislation, annotations of the changes that were made, the provision of a thoroughly updated Retention Schedule, and a detailed explanation of the net effect of all legislative changes. Based on the extensive information we provide, Municipalities simply need to make the changes required to maintain compliance and reduce litigation risk, in a timely manner. Through our Compliance Service, the InfoPros provides the insurance policy that Municipal organizations need to make sure they stay on the right side of the law. This means that Municipalities can focus on other priorities, with the peace of mind that comes from knowing that the InfoPros are continually monitoring and mitigating litigation risks against an ever-moving target.


EDRMS PROCUREMENT CONSULTING SERVICES

The InfoPros secondary service is a business line dedicated to the development of procurement-related records management documentation focusing on Requests for Proposals (RFPs), Requests for Quotations (RFQs), and all other Request for Xs (RFX) arrangements including Master Supply Arrangements (MSAs) and Master Standing Offers (MSOs). This business line was designed in response to an industry-wide problem: the failure of records management implementations can, for the most part, be tracked back to issues and gaps in the RFP/RFQ/RFX development and vendor selection process.


The InfoPros has seen, firsthand, the enormous negative financial, technical and end user impacts that are caused by improperly outlining and defining the requirements, specifications, systems and feature sets of records management solutions at the procurement level. There is nothing quite so frustrating for Municipalities than spending time and effort on RFP/RFQ/RFX development, only to receive proposals from vendors that do not address their needs. The InfoPros requirements definition service include a well-architected procurement document that expertly describes the needs of the Municipality thoroughly and accurately, helping to maximize the chance that the proposals received in response to the procurement will be worthy of consideration. Our strategic services include:


  • Planning and development of the RFP/RFQ/RFX;
  • Analysis and verification of the Departmental requirements;
