Expertise and Experience

The InfoPros primary service is a strategic consulting practice dedicated to providing advisory services related to records management and the broader spectrum that encompasses information governance. We are constantly involved in the records management community and in reviewing new technology solutions for records management, often before they are released to the marketplace. This high level of involvement with records management vendors naturally provides the InfoPros with a unique understanding of the features and benefits of almost every records management product available in today’s ever-changing market. The InfoPros offers the following strategic records management services to organizations large and small:

  • Review and recommendations for records management policy design and development to achieve ultimate compliance tailored to each individual business.
  • Establishing file plans and retention schedules for the ultimate disposition of records to ensure fully defensible records management programs.
  • Legislative research and validation, and specifically tailored rules and regulations for all jurisdictions in North America according to organization size and scope; recognizing the ‘one size’ truly does not fit all.
  • Enterprise document records management technology procurement development, proposal evaluation and vendor selection (more on this below).
  • Information architecture design and development with a specific focus on the user experience (UX) to successfully alignuser goals and business goals with the usability of the solution.
  • Records management training based on the six (6) primary “Areas of Knowledge” as defined by the National Archives and Records Administration (NARA); records management fundamentals, creating and maintaining organizational business information, records scheduling, records schedule implementation, asset and risk management, and records management program development.

The InfoPros secondary service is a business line dedicated to the development of procurement-related records management documentation focusing on Requests for Proposals (RFPs), Requests for Quotations (RFQs), and all other Request for Xs (RFX) arrangements including Master Supply Arrangements (MSAs) and Master Standing Offers (MSOs). This business line was designed in response to an industry-wide problem that affects both Municipalities and businesses large and small alike: the failure of records management implementations can, for the most part, be tracked back to issues and gaps in the RFP/RFQ/RFX development and vendor selection process.

The InfoPros has seen, first hand, the enormous negative financial, technical, and end user impacts that are caused by improperly outlining and defining the requirements, specifications, systems and feature sets of records management solutions at the procurement level. There is nothing quite so frustrating for businesses than spending time and effort on RFP/RFQ/RFX development, only to receive proposals from vendors that don’t address their needs. The InfoPros requirements definition service include a well-architected procurement document that expertly describes the needs of the business thoroughly and accurately, helping to maximize the chance that the proposals received in response to the procurement will be worthy of consideration. Our strategic services include:

  • Planning and development of the RFP/RFQ/RFX.
  • Working with relevant client departments, an analysis and verification of the requirements.
  • Clarification of short-and-long-term goals, both from a user and IT perspective.
  • The identification of budgetary requirements and weighing spend against fiscal realities.
  • Identifying / prequalifying potential vendors.
  • Creating vendor short lists.
  • Establishing the RFP format so that it is coherent, concise, and aligned with procurement best practices.
  • Establishing and creating response requirements and the evaluation marking criteria.
  • Full RFP/RFQ/RFX development (end-to-end).
  • Assistance in RFP/RFQ/RFX evaluations, marking responses and scoring answers.
